Administrative and Finance Specialist

About the role

FAO Mongolia is looking for an Administrative and Finance Specialist to support the Agriculture and Land Component of the SCALA project. The incumbent will work under the supervision of the FAO Representative and the National Project Manager, ensuring smooth day‑to‑day operations and financial management of the project.

Key responsibilities

• Carry out administrative processes, including preparation of contractual documents, tender evaluation coordination, and logistical support for travel and workshops.
• Maintain project assets, inventory, and filing systems, ensuring accurate records and timely disposal in line with FAO procedures.
• Provide financial assistance: monitor budget expenditure, prepare financial statements, support service contract delivery, and prepare documents for internal and external audits.
• Support project communication, public‑relation activities, and digital documentation throughout the project cycle.

Required profile

• Bachelor’s degree in management, business administration, accounting or related field; master’s degree is an advantage.
• Minimum 5 years of experience in administration, finance or procurement of large projects.
• Fluent in English and Mongolian; Mongolian nationality.
• Demonstrated ability to work in a multinational team and knowledge of UN‑system procedures is a plus.

Required skills

• High proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook, Access).
• Experience with Microsoft Teams and e‑filing/document management tools.
• Financial reporting, budgeting and cash‑flow monitoring.
• Procurement processes and tender evaluation support.
