Visa Application Centre Assistant (KVAC)

About the role

The incumbent will support visa applicants at the Korean Visa Application Centre (KVAC) in Ulaanbaatar, ensuring a smooth and timely visa processing experience. Working under the KVAC Team Leader and Supervisor, the role involves assisting with application submission, document verification, and passport handling.

Key responsibilities

• Provide dignified, service‑excellence to visa applicants in strict compliance with ROK government requirements.
• Verify applicant identity, collect and sort applications, and ensure completeness of documentation.
• Enter accurate data into the IOM case management system and the ROK visa portal, generate receipts, and track passports via QR/barcode.
• Verify fee payments, reconcile daily collections, and manage petty cash securely.
• Coordinate logistics with the designated courier for secure transfer of applications and passports.
• Maintain expertise in ICT solutions, including the case management system, visa portal, appointment scheduling, and passport tracking modules.

Required profile

• University degree in Business Administration, Client Services, Social Science or related field with two years of relevant experience, OR high school diploma with four years of relevant experience.
• Experience in migrant‑related programmes or visa services, strong customer‑service background, and preferably living/working experience in Korea.

Required skills

• Proficiency with the IOM case management system.
• Use of the ROK visa portal.
• Familiarity with the appointment scheduling system.
• Ability to operate the passport tracking module.
