Program & Operations Coordinator

About the role

The J‑1 Program & Operations Coordinator is a full‑time, on‑site position in central Ulaanbaatar. The role supports the daily administration of multiple J‑1 exchange visitor programs, ensuring compliance with policies and delivering high‑quality participant support.

Key responsibilities

• Coordinate participant applications, documentation, and interview scheduling.
• Maintain accurate records and manage orientation sessions.
• Communicate regularly with participants, parents, U.S. partners, and internal teams.
• Respond to inquiries, resolve routine customer‑service issues, and improve process efficiency.
• Prepare reports, track program metrics, and support outreach and marketing initiatives.

Required profile

• Bachelor’s degree in International Relations, Education, Business, Communications, Tourism, or a related field (or equivalent experience).
• Strong written and verbal communication and customer‑service abilities.
• Excellent organizational and administrative skills with the capacity to manage multiple tasks and deadlines.
• Basic analytical skills to monitor progress, identify issues, and suggest improvements.
• Previous experience in program coordination, student services, international education, cultural exchange, travel, or related fields is preferred.
• Familiarity with J‑1 exchange visitor programs, U.S. visa processes, or cross‑cultural communication is an advantage.
• Professional working proficiency in English.

Required skills

• Proficiency with Microsoft Office suite.
• Proficiency with Google Workspace.
• Experience using spreadsheets, email, shared document systems, and online databases.
• Experience with AI‑assisted administrative tools (beneficial).
